Price and licensing
This is the row that ends most decisions before the others get a look in. Power BI Pro is a low monthly cost per user, and if your company already pays for a Microsoft 365 plan there is a good chance it is bundled in, so the marginal cost of another viewer is small. Tableau's Creator licence, the one that lets someone actually build, costs several times more per seat.
Prices move, so check the current list rates before you commit. But the shape has been steady for years: at the same headcount, Power BI is the cheaper platform, and the gap widens with every extra person you add. Visualisation and exploration
Here is where I will happily hand Tableau the win. For open-ended visual exploration, the kind where an analyst is following a hunch through the data and wants the chart to keep up with their thinking, Tableau is superb. The interaction model is fluid and the output can be beautiful.
Power BI's visuals are very good and cover almost everything a business report needs, especially once you add custom visuals. But if your core job is exploratory analytics rather than repeatable reporting, Tableau's ceiling is higher. Be honest about which one you actually do. - Choose Tableau if visual, exploratory analytics is the daily job, you have analysts who will invest the time to master it, and the higher per-seat cost is not a blocker.
- Either is fine if you just need a clean, reliable dashboard on tidy data. At that point the platform matters far less than whether the data model underneath is built properly.
My honest take: nine out of ten businesses that email me are better served by Power BI, and not because I build in it. It is the cost, the Excel familiarity and the Microsoft fit. The tenth has a genuine exploratory-analytics need and the budget to match, and I will tell them Tableau is the better call.
